Staff Portal PC Bookings

Notes

  • Your library location will appear automatically when you sign in as staff.
  • If you edit the duration of a booking, the change in duration will begin at the start time, not when you made the edit.
  • Staff are the only ones able to edit the duration of a booking. Members will be offered extensions in the last 10 minutes of their booking only when the system determines it’s possible.
  • Staff can also book a patron in for multiple future bookings, the public cannot.
  • When a member books themselves into a future session using our website, if they do not log into the session within 10 minutes of its start time then their booking will be automatically cancelled. Bookings made by staff are exempt from this rule and will not expire if unused. All bookings can be cancelled by staff at any time.
  • Each branch will need to Block out PCs for closures- this includes public holidays. Make sure to do this early, as you can only block out computers that have not been booked. If PCs are booked on a date when you want to place a block out, you must first cancel these bookings.
  • If you need to edit the start time for someone who is booked in, you will need to cancel the booking and make a new booking with the new start time.
  • According to our policy every person who goes on the computer will need to be a member, however if this is impossible, use your branch printing card to book the person on. When this is done please provide the user’s details in the Notes popup field.
  • The new system will prevent members who are BARRED in Workflows from accessing PCs. The same is true for branch Wi-Fi and the events calendar. BARRED members are not allowed to access library services. If a member is BARRED because they haven’t verified their address then you may wish to reinstate their membership but change their profile to ER-INTRNET. Doing so will allow them access to PCs but will still prevent borrowing.

Public PC Bookings

The new PC booking system is now rolling out to branches. It includes countless improvements such as faster reboots between sessions, better statistics and vastly improved app performance. It is a self-service system, so members simply login using their library card and PIN.
As per ERL policy, it’s no longer possible to log someone who doesn’t have a library card into a PC, however in extreme cases the library print card may be used. Here’s what it looks like for members to use.

This is what appears on the Public PC- it will list how many minutes the computer is available for. A member simply enters their card number and PIN.

You can click the Manage Booking button to see how much time is left in your session.

You can manage your booking or end your booking from this screen.

You can also lock your PC from the manage your booking scree. You will need to enter your PIN to unlock the computer. You can also End Booking from this screen.

Every 10 minutes the member will have a popup appear in the bottom right hand corner.
The last 10 minutes results in a pop up notification where the member must click and acknowledge the pop up. Then every minute down to 2 minutes they will get a notification.

In the final 2 minutes they will get a pop up every 15 seconds.

The option to extend will appear in the last 10 minutes if applicable.

Pod Bookings

The pod booking system works in a similar way to the PC booking system. It is accesible via a menu item within the PC Booking system.

  • Bookings generally last for just under two hours, but staff can customise this. The system will attempt to maintain three minutes of padding between sessions.
  • Members can book from home using the same portal they already use to book PCs.
  • The system will only allow members to have one future pod booking, though staff can override this if they choose to.
